0. TERMS USED

0.1. ORGANIZER – Green & Wild Association, a non-profit legal entity, registered in the National NGO Register under no. 10408/A/2010, located in Cluj-Napoca, Str. Samuel Brassai no. 11, ap. 1, Cluj County, having CIF 27100974.

0.2. COMPETITION – The Trascău Trail Run mountain running contest.

0.3. PARTICIPANT – Any person registered for the competition, who has paid the participation fee and received confirmation of registration.

0.4. LEGAL GUARDIAN – The parent or legal guardian of a minor participant.

0.5. MINOR – A person under the age of 18 at the date of the competition.

0.6. COMPETITION TEST – The race category in which a competitor participates, depending on distance and difficulty level (e.g., 11 km Cross, 24 km Half Marathon, 45 km Marathon).

0.7. COMPETITION KIT – The set of materials provided by the organizers upon registration validation, which may include: competition number, timing chip, official t-shirt, promotional materials, etc.

0.8. TIME LIMIT – The maximum duration within which a participant must complete the course of their race in order to be included in the official ranking.

0.9. CHECKPOINT / AID STATION – A location along the course where participants’ passage is verified and/or where water, food, and basic assistance are provided.

0.10. WITHDRAWAL / ABANDONMENT – The voluntary or necessary decision of a participant to stop the race before finishing.

0.11. TECHNICAL BRIEFING – An official briefing provided by the organizers containing essential details about the courses, weather conditions, safety rules, and any changes announced before the start.

0.12. REGULATIONS – The official document issued by the organizer that establishes the conditions for organizing the Trascău Trail Run competition, as well as the rights and obligations of the parties involved. Acceptance of this document is mandatory for registration and participation in the competition.

1. GENERAL RULES

1.1. Trascău Trail Run (www.trascautrailrun.ro) is a mountain running competition organized by the Green & Wild Association.

1.2. The competition includes three contest events:
– Marathon – a route of approximately 45 km, with a significant elevation difference;
– Half Marathon – a route of approximately 23.5 km;
– Cross – a route of approximately 11 km.

1.3. All routes take place on public roads, forest roads, marked and unmarked tourist paths, in mountainous areas. The routes will be properly signposted by the organizers. The start and finish of all events will take place in the locality of Rimetea, Alba County.

1.4. Participation in the competition is voluntary and done at one’s own risk. Participants must be aware of the risks involved in traversing mountain trails (accidents, bad weather, rough terrain, etc.).

1.5. Participants must respect the rules of sportsmanship, fair play, and environmental protection, must not intentionally hinder other participants, and must follow the instructions of the organizers and staff on the course exactly.

1.6. The organizer reserves the right to modify the routes or the competition schedule depending on weather conditions, the safety of participants, or other unforeseen situations. Any changes will be publicly announced on the official website and/or via email, where possible.

1.7. The exact schedule of the event will be communicated at least 7 days before the start date on the official website. It is the responsibility of each participant to stay informed about the schedule and any possible changes.

1.8. By registering, each participant declares that they have read, understood, and accepted the competition rules, as well as the risks involved.

2. PARTICIPATION

2.1. Participants must take into account that the courses are demanding and may involve significant risks specific to the mountain environment. Before registering, each person must realistically assess their physical and mental capacity, as well as the suitability of their equipment for the competition requirements.

2.2. The marathon race (45 km) is open only to participants who are at least 18 years old and medically fit for sustained physical effort.

2.3. The half marathon race (23.5 km) is open to participants aged 16 and above, medically fit.

2.4. The cross race (8.4 km) is open to participants aged 14 and above, medically fit.

2.5. Minors (under 18) may participate only with the written consent of their legal guardian (parent or tutor), who:

  • explicitly agrees to the minor’s participation;
  • declares that they have read the regulations;
  • understands and assumes, together with the minor, the risks involved.

2.6. If the legal guardian is a tutor (not a parent), legal proof of guardianship is required. Consent may be provided:

  • by submitting the liability declaration to the organizers;
  • or by handwritten signature in the presence of the minor during registration validation.

2.7. Online registration with an incorrect age automatically results in disqualification from the race.

2.8. Each participant, regardless of the registration method, must:

  • sign the liability declaration when collecting the race number;
  • present a valid identity document during registration validation;
  • acknowledge and accept that participation involves medical, physical, and legal risks specific to an endurance mountain race conducted on partially arranged terrain.

2.9. The organizer reserves the right to refuse participation or remove participants from the race if they show clear signs of:

  • intoxication (alcohol, drugs, or other substances);
  • significant health impairment;
  • severe physical or mental exhaustion;
  • completely inadequate equipment.

2.10. Each participant is responsible for obtaining medical clearance, according to Art. 55 (1) of Law no. 69/2000 (Law on Physical Education and Sport). The organizer does not verify these documents but recommends that participants have experience in similar competitions.

2.11. Minors must be accompanied at all times by a responsible adult during the entire event and must comply with all safety, conduct, and equipment rules.

2.12. The legal guardian (parent/tutor) is solely responsible for the safety of the minor and cannot delegate this responsibility to the organizer or another person.

2.13. Minors must follow the competition rules under the same conditions as adult participants. Legal guardians are responsible for the actions of minors during the event.

2.14. Participants must inform the organizer about any pre-existing medical condition that could affect their ability to participate safely.

2.15. The organizer does not assume responsibility for accidents, injuries, or loss of personal belongings during the competition. Participation is entirely at the participant’s own risk, and each competitor is responsible for their personal items and actions.

2.16. The organizer reserves the right to refuse participation of minors who do not meet the above conditions or who cannot be properly supervised.

2.17. The organizer does not provide medical or accident insurance for participants. Each participant is recommended to hold a valid insurance policy covering sports activities, including mountain or endurance sports.

2.18. Persons with disabilities who wish to participate are asked to contact the organizer before registration, in order to assess whether the course and conditions allow safe participation.

2.19. Participation in the event implies compliance with all local laws and regulations, including those related to public order, safety in protected natural areas, and road traffic rules.

2.20. Participation in the marathon race is recommended only for athletes with experience in mountain competitions of at least 30 km, held in similar conditions. The organizer does not assess athletic experience but reserves the right to warn participants who may endanger themselves or others.

2.21. Persons undergoing medical treatment that could affect physical effort, balance, or judgment must consult a doctor before participating and decide accordingly. The organizer assumes no responsibility for complications resulting from negligence in this regard.

2.22. Participants are responsible for informing the organizer about allergies or dietary restrictions. Aid stations cannot guarantee the absence of cross-contamination or compliance with special diets.

2.23 Foreign participants must ensure they hold a valid insurance policy in Romania covering sports activities. The organizer does not guarantee translation of rules or documents into other languages.

3. TIMING, CATEGORIES AND RACE DISTANCES

3.1. Official timing is recorded to the second using an automated RFID chip system or manual officiating, depending on the technical context. The winner is the competitor who completes the entire assigned course in the shortest time while respecting the regulations.

3.2. The competition includes the following 3 official races:

  • Marathon – 45 km;
  • Half Marathon – 23.5 km;
  • Cross – 11 km.

3.3. Cash prizes (RON) are awarded to the top 3 competitors in the OPEN category, female and male, for each of the three races: Marathon, Half Marathon and Cross. The exact prize values are displayed in the “RACE INFO” section on the official website.

3.4. Product prizes are awarded to the top 3 competitors (female and male) in the following age categories for all 3 races:

  • < 30 years
  • 30 – 44 years
  • 45 – 60 years
  • > 60 years

3.5. An age category is considered valid only if it has at least 5 registered and validated participants. Otherwise, the category will be merged with the previous or the next one, depending on the distribution of participants.

3.6. A competitor awarded in the OPEN category cannot also receive a prize in the age category. Only one prize will be awarded – the most valuable one.

3.7. Presence at the awards ceremony is mandatory to receive the prize. If the competitor is absent, the prize is forfeited and cannot be claimed later, regardless of the reason.

3.8. Competitors finishing in 1st place in the OPEN category, male and female, in any of the three races will receive a free entry for the next edition, for a race of their choice. The invitation is non-transferable and can only be used by the winner.

3.9. The organizer may place intermediate checkpoints along the course where the passage of competitors is recorded. Missing a checkpoint results in automatic disqualification.

3.10. In case of a tie in the OPEN ranking, the tie will be resolved based on:

  • Presence at all checkpoints;
  • The actual start time (in case of wave starts);
  • The referees’ decision if the differences are indistinguishable.

3.11. Provisional rankings will be displayed on the day of the event. Final rankings will be published online within 48 hours. Any appeal must be submitted in writing within a maximum of 30 minutes after the provisional results are displayed.

3.12. Any unsportsmanlike behavior (obstructing other competitors, taking unauthorized shortcuts, aggressive behavior, ignoring referees’ instructions) will be sanctioned with immediate disqualification.

3.13. In the event of a technical timing error, the organizer reserves the right to correct the rankings based on available evidence (finish photos, referees’ statements, etc.).

3.14. In cases of force majeure or imminent danger to participant safety, the organizer may decide to modify or cancel the course and categories without the obligation to refund the participation fee.

3.15. The organizer reserves the right to modify prizes, awarding conditions, or other logistical aspects depending on objective circumstances (e.g. withdrawal of sponsors, legislative changes, extreme weather conditions).

3.16. At the end of the competition, a raffle with symbolic prizes offered by sponsors will take place. Only persons who are:

  • officially registered in the competition;
  • physically present at the raffle;
  • able to present their race number.

3.17. Raffle prizes cannot be collected on behalf of another person.

3.18. Competitors awarded in the OPEN category cannot participate in the raffle.

3.19. Raffle prizes are provided by sponsors or partners. The organizer assumes no responsibility for the quality, warranty, or integrity of the products.

3.20. Any attempt to fraudulently influence the raffle results will lead to immediate exclusion and forfeiture of any prize.

4. EQUIPMENT

4.1. Each participant is responsible for the selection and condition of the equipment used during the competition. The organizer assumes no responsibility for any defects or wear of personal equipment.

4.2. Depending on the weather forecast and the length of the course, the organizer may impose mandatory minimum equipment. This will be officially communicated at least 48 hours before the start.

4.3. Unless otherwise communicated, the minimum mandatory equipment is as follows:

  • Trail running shoes with mountain profile (good grip; high hiking boots are not recommended);
  • Water bottle / reusable container – minimum capacity: 0.5 liters;
  • Emergency blanket (in case of cold weather or rain);
  • Rain jacket / waterproof layer (in case of unstable weather);
  • Race number – which must be worn visibly on the front of the shirt or shorts.

4.4. No single-use cups or containers will be provided at hydration or aid stations. Each participant must carry their own container (bottle, soft flask, collapsible cup, etc.).

4.5. The organizer recommends the following equipment adapted to the course and weather conditions:

  • Cap / buff / bandana for sun protection;
  • UV protection sunscreen;
  • Energy gels / bars;
  • Fully charged mobile phone (preferably in a waterproof case);
  • Trekking poles (optional, only if used carefully with respect to other participants);
  • Map (if provided by the organizer);
  • Electrolyte salts or rehydration salts in case of high temperatures.

4.6. The organizers reserve the right to perform random equipment checks before, during, or after the race.

4.7. Missing mandatory equipment may lead to one of the following sanctions, depending on severity:

  • Verbal warning (at the start or checkpoint);
  • Time penalty added (e.g., 5–10 minutes);
  • Disqualification if the absence endangers the participant’s safety or clearly violates the regulations.

4.8. Equipment must be adapted to the mountain environment: technical clothing, breathable, quick-drying, suitable for temperature changes and exposure to sun or wind.

4.9. The use of equipment or devices that may endanger other participants is prohibited (e.g., trekking poles with unprotected metal tips, portable speakers, drones, etc.).

4.10. Any participant who abandons the race must keep their equipment with them until reaching a safe or recovery area.

4.11. On the course, receiving or providing equipment or food from persons outside the official organization is not permitted, except in medical or emergency situations. Participants must remain self-sufficient between aid stations.

4.12. The race number contains the timing chip and is an official identification element. It must not be folded, covered, damaged, or lent to another person. Failure to comply results in disqualification.

4.13. The use of electronic devices (GPS devices, sports watches, mobile phones) is permitted only for informational and safety purposes.

4.14. The organizer is not responsible for equipment forgotten, lost, or abandoned on the course. Participants must ensure they retrieve their belongings after the race.

4.15. Trekking poles are permitted, but:

  • they must be carried safely (not loose behind the runner);
  • they must not be left on the course;
  • their use must be done carefully to avoid endangering other competitors, especially on narrow sections or descents.

4.16. The use of a falsified, duplicated, or altered race number will lead to disqualification from the competition.

5. RACE REGISTRATION AND REGISTRATION VALIDATION

5.1. Registration is done exclusively online by completing the form available on the official competition website: www.trascautrailrun.ro, in the “Registration” section.

5.2. After completing the form, the registered person will automatically receive a preliminary confirmation email. Registration becomes valid only after confirmation of the participation fee payment within the timeframe established by the regulations.

5.3. The participation fee is publicly communicated on the website, depending on the registration period and the selected race. After registration, each participant receives a payment link valid for 3 calendar days. Payments made after this period or after registration closes will not be taken into consideration.

5.4. Completing the online form does not automatically guarantee reservation of a spot. If the available places for the selected race become fully booked and payment has not been completed in time, the registration is automatically cancelled without any obligation from the organizer.

5.5. The last day for payment and validation will be announced on the website. Payment links become invalid after this date, even if they were generated earlier.

5.6. For the 6th edition of Trascău Trail Run, 550 spots are available, distributed as follows:

  • Marathon (45 km): 100 participants
  • Half Marathon (23.5 km): 250 participants
  • Cross (11 km): 200 participants
  • (Note: The Family Fun Run race will not be organized in the current edition.)

5.7. If the available spots are filled and the participant has not paid the fee within the indicated timeframe, the registration is automatically cancelled, even if the online form had been previously completed.

5.8. After completing the registration form, the participant will automatically receive a payment link valid for 3 calendar days from the moment it is generated. ATTENTION: completing the form does not guarantee reservation of a spot in the selected race. If the fee is not paid within the 3-day period and the available spots become full in the meantime, the registration will be automatically cancelled and the payment link will become unusable. The same principle applies if payment is not made before the officially announced registration deadline. In this case, the registration is considered void even if the payment link is still active.

5.9. For on-site registration validation, each participant must present:

  • a valid identity document (ID card, passport);
  • proof of payment of the participation fee (if it is not already confirmed in the system);
  • the signed liability declaration – the form is provided by the organizer (it can be completed online or on site);
  • legal guardian consent in the case of minor participants.

5.10. Registration using false or incomplete data is strictly prohibited. The organizer reserves the right to remove at any time participants who have provided incorrect information.

5.11. The participation fee is non-refundable regardless of the reason for withdrawal, except in cases where the organizer decides to cancel the event.

5.12. Transferring the registration to another person is possible only until a deadline announced by the organizer, through a dedicated form. The transfer becomes valid only after official confirmation from the organizing team.

5.13. In case of system overload or accidental registrations exceeding the maximum allowed number, the organizer will contact the affected participants to refund the participation fee or relocate them to another race if spots are available.

5.14. If a participant wishes to change the selected race (for example from half marathon to cross), this is permitted only within the limit of available spots and only until a specified deadline. Fees are not adjusted or compensated.

5.15. The organizer may decide to close registrations earlier, without prior notice, if all available spots have been filled.

5.16. By completing the registration form, the participant declares that:

  • they have read and accepted these regulations;
  • they assume responsibility for their own health condition;
  • they agree to the processing of their personal data for purposes related to organizing the event, according to the GDPR policy displayed on the website.

5.17. It is the participant’s responsibility to verify payment confirmation and registration validation in their personal account on the registration platform or via email. If the payment was made but not automatically confirmed, the participant must send proof of payment by email to the organizer within a maximum of 48 hours after the transaction.

5.18. The fiscal invoice for the participation fee can be issued only upon request and within 5 working days from the payment date. The request must be sent to the organizer’s email address and must contain the correct billing details.

5.19. Participants may request corrections to personal data (name, age category, sports club, etc.) until a deadline announced by the organizer, after which the information is sent to printing. Any error remaining after this date cannot be corrected on printed materials (e.g., race number, rankings).

6. PARTICIPATION CANCELLATION / RACE DISTANCE CHANGE

6.1. If a registered person wishes to cancel their participation, they must send an email to info@trascautrailrun.ro with the subject “Participation Withdrawal – [participant’s name]”.

  • The participation fee is non-refundable, regardless of the reason for cancellation.
  • The organizer encourages transferring the registration to another person under the conditions described below.

6.2. Transfer of registration to another person is allowed only once, under the following conditions:

  • It must be done exclusively by email to info@trascautrailrun.ro, including the details of the person taking the place (full name, date of birth, email address, phone number, personal identification number);
  • It is allowed until a deadline officially announced on the website (usually 10–14 days before the start);
  • The organizer will validate the new participant only after confirming the data and verifying compliance with the regulations (e.g., minimum age for the selected race);
  • The transferor (the person giving up the place) is responsible for delivering the race kit (if it has already been collected), and the beneficiary fully assumes the regulations and participation risks.

6.3. Participants may request a change of the selected race (e.g., from Marathon to Half Marathon) by email, until a deadline announced by the organizer, subject to availability in the desired race.

6.4. Financial and logistical rules for changing the race:

  • Changing to a shorter race (e.g., Marathon → Half Marathon/Cross) does NOT involve refunding the difference in the participation fee;
  • Changing to a longer race (e.g., Cross → Marathon) is allowed only after paying the difference in the participation fee;
  • The race kit will remain the one corresponding to the initially selected race, regardless of the change.

6.5. Changing the race or transferring the registration is not possible after the official closing of registrations and not on the day of the competition.

6.6. The organizer reserves the right to refuse a transfer or race change if:

  • the maximum number of participants for the desired race has been reached;
  • the deadline has been exceeded;
  • a violation of the regulations or the provision of false information is identified.

6.7. If the event is cancelled due to force majeure (extreme weather conditions, legal restrictions, etc.), participation fees may be transferred to the next edition or partially refunded depending on the expenses already incurred by the organizer.

6.8. Any request for cancellation, transfer, or race change submitted after the deadline will not be processed regardless of the reason invoked (illness, accident, lack of time, oversight, etc.).

6.9. The organizer will not reopen on-site validation for persons receiving a race kit from another participant. These persons will not appear in the rankings and cannot claim prizes.

6.10. In case of loss of the race number or timing chip, the organizer cannot provide a duplicate on the day of the competition. Loss of these items may lead to exclusion from the ranking.

6.11. In the case of transfer to another race, the age category will be automatically recalculated according to the newly selected race. The participant cannot request to keep the category from the previous race.

6.12. The organizer reserves the right to cancel the registration of a participant in justified situations such as:

  • multiple registrations under different identities;
  • failure to respect behavioral rules towards staff or other competitors;
  • fraudulent use of personal data or the race number.

6.13. In case of withdrawal, participation cannot be automatically transferred to the next edition.

7. PARTICIPATION FEE

7.1. The participation fee is presented in the table below, as follows:

  • Marathon 45 km: 290 RON
  • Half Marathon 23.5 km: 250 RON
  • Cross 8.4 km: 180 RON

7.2. The participation fee includes: timing services, race kit, aid stations, finisher medal, emergency assistance along the course, and access to the awards ceremony.

7.3. Participants who can prove they have a permanent disability (official certificate) benefit from free registration, provided they submit the request and supporting documents before the registration deadline.

7.4. The participation fee can be paid exclusively online by bank card through the payment link generated after completing the registration form on www.trascautrailrun.ro.

7.5. Payment can be made:

  • immediately after completing the form (through a link displayed on the website);
  • or later, using the payment link received by email (valid for 3 days).

7.6. The deadline for payment of the participation fee is officially announced on the competition website. After this date, NO payments can be made and incomplete registrations will be automatically cancelled.

7.7. On-site registrations or payments are NOT accepted.

7.8. The participation fee is non-refundable regardless of the reason for non-participation (see Chapter 6).

7.9. Transfer of registration to another participant is allowed under the conditions specified in Chapter 6 and does not involve additional costs if completed within the specified timeframe.

7.10. A fiscal invoice can be issued upon request within a maximum of 5 working days from the payment date. The request must be sent by email and must include the correct billing details.

8. RACE KIT

8.1. Collecting the race kit is mandatory for participation in any of the 3 races. Without a validated kit, the participant cannot start the race.

8.2. When collecting the kit, each participant must present:

  • identity card (or passport);
  • signature on the participation list – confirming the correctness of personal data and age category;
  • a signed liability declaration – confirming that they have read, understood and accepted the regulations and assume the risks of participation.

8.3. Race kits will be distributed at the locations officially communicated on the website, as well as on site on the day before the competition, within the time interval published in the “Race Info” section.

8.4. The kit will NOT be shipped and cannot be collected by another person unless there is a signed authorization and a copy of the identity document of the registered participant.

8.5. In order to receive the T-shirt in the desired size, the participant must:

  • be registered and have the participation fee paid by 26.09.2026;
  • have selected the correct size in the registration form.

8.6. The edition T-shirt is included in the race kit for all participants registered and with the participation fee paid by 26.09.2026. For these participants, the organizers will make every effort to provide the size selected in the registration form, depending on stock availability. T-shirts will be distributed in the order of participation fee payment, not in the order of form submission. After this date, registrations are no longer accepted and no registrations or payments can be made on site, regardless of the reason.

8.7. In case the requested size is no longer available, the organizers will offer available alternatives (e.g., a smaller or larger size, or an alternative product depending on stock). Although the organizers will make every effort to provide the requested size, it cannot be absolutely guaranteed due to logistical reasons.

8.8. The organizer is not responsible for incorrect T-shirt size caused by:

  • incorrect completion of the registration form;
  • changing the requested size after the order has been placed;
  • lack of available sizes for late registrations.
  • 8.9. The organizer assumes no responsibility for:
  • damage or loss of kit items following their use;
  • improper use of food products or accessories received;
  • late collection of the kit outside the officially announced time interval.

8.10. Participants who for objective reasons cannot collect the kit personally (e.g., delayed arrival) may contact the organizers by email or directly at the Info Point before the announced deadline.

8.11. Failure to collect the kit within the announced time interval results in the loss of the right to participate in the race. The organizer is not obligated to keep the kit for later collection and the fee will not be refunded.

8.12. Kits not collected on site cannot be claimed directly after the event ends, but they may be sent by courier upon the participant’s explicit request under the following conditions:

  • The participant must send an email to info@trascautrailrun.ro within a maximum of 7 calendar days from the race date;
  • The email must contain: full name, the race they were registered for and the complete delivery address;
  • The shipping cost is fully covered by the participant (cash on delivery or prepaid depending on the courier);
  • The organizer is not responsible for delays, losses or damages of the package during transit.
  • If shipment is not requested within the mentioned period, the kit will be considered abandoned and may be redistributed for promotional or logistical purposes (e.g., volunteers, partners).

8.13. Information printed on the race number or other materials (e.g., name, team, category) cannot be modified on site regardless of the reason. The participant is responsible for the accuracy of the data entered in the registration form.

8.14. The timing chip is attached to the race number. It must be kept intact and unmodified. Any alteration, loss or improper use may result in the official time not being recorded or exclusion from the rankings.

9. START AND CHECKPOINTS / AID STATIONS

9.1. The start for each race will take place in the central area of the village of Rimetea, according to the following schedule:
Race – Distance – Start time
Marathon – 45 km – 07:00
Half Marathon – 23.5 km – 09:00
Cross – 11 km – 10:00
* There are no other races in this edition.

9.2. All three races will have both the start and finish in the same area in the village of Rimetea (Alba County), with the exact location communicated on the website and clearly marked on site.

9.3. Minimum rules regarding presence at the start:

  • Participants must arrive at least 30 minutes before the official start time;
  • Checking equipment, timing chip and race number before entering the start area is recommended;
  • Late arrival at the start may lead to not being recorded in the official timing system or refusal of access to the course for participant safety.

9.4. Along the course of each race there are checkpoints where each participant’s passage is monitored. These are:

  • mandatory – missing registration at a checkpoint results in disqualification;
  • clearly marked and staffed with personnel or recording devices.

9.5. Aid and hydration stations. Along the course there will be refueling points equipped with: still water, isotonic drink (electrolytes), fruit (bananas, oranges), glucose and other products depending on sponsors.

9.6. Behavior at aid stations

  • Throwing packaging or any other waste outside the designated areas is prohibited – participants must keep the environment clean;
  • Each participant must carry their own container (soft flask, bottle, collapsible cup) – NO single-use cups will be provided;
  • Participants must give priority to those in difficulty and report any dangerous situation to the staff present in the area.

9.7. Assistance and safety. At certain checkpoints and aid stations, medical personnel or mountain rescue teams will be present and ready to intervene if necessary. Participants who feel unwell or notice a danger on the course must immediately alert the organizers or volunteers in the area.

9.8. The start/finish area is a semi-restricted zone accessible only to:

  • validated and properly equipped participants;
  • organizational staff, referees and medical personnel;
  • accredited photographers and partner media representatives.

9.9. Hydration points will provide exclusively: still water and isotonic drinks (electrolytes). These do NOT include solid food, fruit, glucose or other nutrition products. Hydration points are marked separately from full aid stations.

9.10. Participants must remain autonomous between aid stations. They are responsible for their own nutritional and hydration needs according to the distance and difficulty of the course.

9.11. Participants must dispose of packaging only in the specially designated areas at refueling or hydration stations. Throwing waste on the course will lead to sanctions, including disqualification.

9.12. It is strictly forbidden for medications (painkillers, anti-inflammatory drugs, supplements, etc.) to be administered by: other participants, volunteers, technical staff or organizers. The only personnel authorized to provide treatments or medication is the specialized medical team present on the course or in the start/finish area, following an appropriate medical evaluation and only in justified situations. Failure to comply with this rule may lead to participant disqualification or refusal to allow continuation of the race in case of suspected risky self-medication.

9.13. Access of other persons (accompanying persons, spectators, etc.) may be restricted or redirected to dedicated areas for the safety and proper conduct of the event.

10. TECHNICAL BRIEFING AND TIME LIMIT

10.1. The following technical briefings will take place:

  • Friday, 09.10.2026 at 20:00 (marathon, half marathon and cross)
  • Saturday, 10.10.2026 at 06:45 for the marathon race
  • Saturday, 10.10.2026 at 08:45 for the half marathon race
  • Saturday, 10.10.2026 at 09:45 for the cross race

10.2. Information provided during the technical briefings may include details about route changes, weather conditions, safety measures or other important decisions regarding the organization of the competition.

10.3. For the 45 km Marathon race, the intermediate cut-off time is 6 hours and will be measured at the checkpoint located near Huda lui Papară Cave.

10.4. Participants who do not reach this checkpoint within 6 hours will be stopped from the race by volunteers. They will be picked up by an organization vehicle and transported safely back to the base camp. The waiting time for recovery may vary depending on the number of participants in this situation and logistical conditions.

10.5. Participants who voluntarily choose to continue the route after the intermediate cut-off time may do so entirely at their own responsibility. After this point, the course is no longer marked, there are no organized aid or hydration stations, and the organizer assumes no responsibility for participants who choose to continue. They may continue only on marked mountain tourist trails, outside the competition.

10.6. The total time limit for completing the Marathon course is 10 hours. Participants who do not reach the finish within this time will not be included in the official rankings.

10.7. For the 23.5 km Half Marathon race, the intermediate cut-off time is 4.5 hours and will be measured at checkpoint PC-2 Ardașcheia. The total time limit for this race is 6 hours.

10.8. For the 8.4 km Cross race, the total time limit is 3 hours.

10.9. The Family Fun Run race is not included in this edition of Trascău Trail Run and has been removed from the regulations.

10.10. Participants who exceed intermediate cut-off times or overall time limits will be stopped from the race by the race staff or control team and directed safely to the finish area, without being included in the official rankings.

10.11. Participation in any of the races implies prior acceptance of the regulations and signing the liability declaration. Without a validated declaration, access to the start is not permitted.

10.12. The organizer reserves the right to modify intermediate cut-off times or overall time limits depending on weather conditions or other unforeseen situations, with prior notification to participants during the technical briefings or through a public announcement on the official website.

11. CONDUCT

11.1. Participants must adopt a sportsmanlike and respectful attitude toward other competitors, volunteers, organizers, spectators, photographers and medical staff. Participation in Trascău Trail Run implies adherence to an ethical code of conduct, both during the race and in areas adjacent to the course.

11.2. The course must be completed in a manner that does not endanger the safety of other participants. On narrow sections, participants must move in single file, allowing space for safe overtaking.

11.3. Forming compact groups that block the course or prevent other participants from overtaking is strictly prohibited.

11.4. On the course, participants must keep to the mountainside, leaving the valley side free for overtaking. Overtaking must be done without physical contact and only after verbal warning: “On your left / On your right”.

11.5. Overtaking uphill or in exposed areas without proper safety precautions is strictly prohibited, as well as any direct or indirect physical contact, intimidation gestures or deliberate obstruction of other participants.

11.6. On steep, rocky or scree sections, competitors must adapt their running pace in order to avoid dislodging stones or other materials that could injure participants below.

11.7. Participants have the obligation to take notice and report to the organizers any emergency situation or obvious physical difficulty involving another participant (e.g. falls, injuries, dehydration, disorientation, etc.). Depending on the severity of the case, participants are encouraged to immediately notify a volunteer or call the emergency number 112. Note: in the start/finish area (Rimetea/Colțești), the organizer may not always have stable phone signal, therefore calling 112 remains the primary option in case of a major emergency.

11.8. Any aggressive behavior – verbal, physical or non-verbal – directed toward other participants, volunteers, photographers, technical team members or spectators will result in immediate disqualification and, if necessary, notification of the authorities.

11.9. The use, display or promotion of messages with racist, xenophobic, sexist, political, vulgar or hate-inciting content, discrimination or violence is strictly prohibited.

11.10. The use of obscene, offensive or abusive language is prohibited, including toward one’s own teammates or supporters, both on the course and in the start/finish area.

11.11. Any unsportsmanlike conduct (including cutting the course, ignoring checkpoints, intentionally throwing waste outside designated areas, blocking other competitors, etc.) may result in penalties or disqualification.

11.12. The use of headphones or devices that prevent awareness of the surrounding environment (music, phone calls, etc.) is not recommended in technical or dangerous sections of the course.

11.13. Participants must follow the instructions of all volunteers, referees, intervention teams and organizers, including in the case of a race interruption or course redirection for safety reasons.

11.14. Participants who observe violations of these regulations or dangerous behavior are encouraged to immediately inform the organizers, indicating the race number of the person involved, the location and the nature of the reported behavior.

11.15. Participants must respect public peace and the property of local residents, must not throw waste in nature and must avoid damaging trail markings, tourist signs or local infrastructure.

11.16. The organizer reserves the right to exclude from the competition any participant who displays inappropriate behavior, even outside the course (online, social media, camping area, etc.), if such behavior affects the image of the event, the safety of other people or contradicts the principles of respectful coexistence.

11.17. Participants are not allowed, under any circumstances, to use any means of transportation other than running on foot. The use of bicycles, scooters, ATVs, drones, paragliders, horses, carts, sleds, skis or any other motorized or non-motorized transport on the race course is prohibited.

11.18. Traveling by car on any section of the race course will result in immediate disqualification, even if the competitor later exits the vehicle and continues the race.

11.19. Leaving the official course in order to shorten it (shortcutting) is prohibited. Competitors must follow the officially marked course and pass through all checkpoints.

11.20. Competitors who miss a checkpoint or pass it without being registered may be disqualified. Checkpoint verification may be done automatically or manually, and the absence of a valid registration will be considered a violation.

11.21. Leaving equipment on the course, either intentionally or due to negligence, is prohibited. In exceptional cases (injuries, medical issues), items may be left with volunteers for later recovery, but this must be clearly communicated.

11.22. Participants are not allowed to carry portable speakers or other noise sources on the course that may disturb wildlife, other participants or the tranquility of the natural areas crossed.

11.23. Intentional destruction or modification of course markings or tourist orientation signs is prohibited.

11.24. The consumption of alcoholic beverages or other prohibited substances before, during or immediately after the competition, within the event perimeter, is prohibited.

12. DISQUALIFICATION / WITHDRAWAL FROM THE RACE

12.1. The organizers reserve the right to disqualify or withdraw from the race any participant who does not comply with these regulations or who falls into one of the following situations:

  • Loss, intentional damage or lack of visibility of the race number;
  • Missing a checkpoint or failing to register validly at automated or manual checkpoints;
  • Deviation from the official route, using shortcuts or avoiding marked segments;
  • Using any means of transport (bicycle, car, horse, etc.) during the race, partially or entirely;
  • Throwing garbage or abandoning equipment on the course; packaging may only be left in designated areas at aid/hydration stations;
  • Unsportsmanlike behavior toward other participants, volunteers, organizers, spectators or local residents;
  • Disrespect toward official course markings or refusal to follow the instructions of organizers;
  • Exceeding the time limit established for each race or intermediate checkpoint;
  • Using prohibited substances (doping, alcohol, drugs, etc.) or refusing to submit to verification in justified cases;
  • Participant substitution (another person running instead of the officially registered participant);
  • Participation without proper registration validation (without paying the fee, without signing the liability declaration, without collecting the race kit);
  • Failure to present an identity document when collecting the race kit or in verification areas;
  • Failure to comply with mandatory equipment rules, especially in adverse weather conditions;
  • Refusal to comply with the decision of volunteers or medical staff to withdraw from the race in case of poor physical condition;
  • Being accompanied by unauthorized persons (pacing) who are not officially registered in the competition;
  • Using applications, devices or methods that provide an unfair advantage over other participants (e.g., assisted navigation outside the course);
  • Verbal, physical or non-verbal aggression, discriminatory or indecent behavior toward any person within the event perimeter;
  • Displaying or promoting political, racist, xenophobic messages or messages that contradict legal or moral standards.

12.2. Voluntary withdrawal from the race may be announced at the nearest checkpoint or to a volunteer. In case of withdrawal, the competitor must inform the organizers in order to avoid unnecessary mobilization of search and rescue teams.

12.3. Withdrawn competitors will be guided toward the start/finish area depending on proximity. The organizer will attempt to provide transportation for withdrawn competitors, but waiting time may vary depending on the location and the number of withdrawn participants.

12.4. Competitors who refuse to withdraw when requested by volunteers or medical staff in justified cases will continue at their own responsibility and may be excluded from participation in future editions.

12.5. Participation under a false identity (using another person’s name or data, or presenting a different race number) results in immediate disqualification and prohibition from participating in future editions.

12.6. In case of injury or medical issues on the course, the competitor must notify the first checkpoint or any volunteer and follow the instructions of medical personnel. Refusal to receive medical assistance may lead to forced withdrawal from the competition.

12.7. Participation under the influence of alcohol or prohibited substances is forbidden and results in immediate disqualification.

12.8. Any attempt of fraud related to ranking, course, timing or the registration process will lead to exclusion from the race and prohibition from participating in future editions.

12.9. Competitors who ignore course markings, intentionally shortcut the course or attempt to mislead other competitors or volunteers will be disqualified.

12.10. Competitors who refuse equipment checks at the start, during the course or at the finish may be disqualified if they cannot prove that they carried the mandatory equipment.

12.11. Competitors who do not fit the age category selected at registration and who entered false information in the online form will be removed from the rankings.

13. ABANDONMENT

13.1. If a competitor decides to withdraw from the race, they are required to announce their decision at the nearest checkpoint, hydration point or to a volunteer on the course.

13.2. After announcing the withdrawal, the competitor must follow the instructions of the organizers and must not continue on the race course. Continuing the route will be at the competitor’s own responsibility, and the organizers no longer guarantee the presence of course markings, hydration points or volunteers.

13.3. Volunteers will guide the competitor toward the shortest and safest route back to the start/finish area if it is nearby, or will communicate the participant’s position to the organizing team for vehicle recovery.

13.4. The competitor is required to remain at the announced location in order to allow the intervention/recovery team to reach them safely. Otherwise, the organizers assume no responsibility for delays, getting lost or other consequences.

13.5. If the withdrawal occurs in an area without GSM signal, the competitor must wait at the nearest checkpoint or hydration point, where volunteers can transmit the necessary information to the organizers.

13.6. Withdrawal is final and the competitor will be removed from the official rankings. They will not be allowed to continue the competition even outside the rankings.

13.7. In medical situations (injuries, severe cramps, signs of exhaustion, etc.), the rescue team may decide to force the withdrawal of the competitor from the competition, even if the competitor wishes to continue.

14. COURSE. OTHER DECISIONS REGARDING THE COMPETITION

14.1. During the competition, road traffic on public roads will not be restricted. On certain short sections of the course, competitors may encounter vehicles or cyclists. In these areas, participants are required to follow traffic regulations and proceed with maximum caution, keeping to the right side of the road and without blocking traffic.

14.2. The course is properly marked with tape, arrows, signs or other visual elements. However, each participant is responsible for paying attention to the markings and following the official route.

14.3. The course may include uneven terrain with variable conditions (rocks, mud, steep slopes, vegetation). Participants must adapt their pace and behavior according to the terrain conditions and pay close attention to their own limits and personal safety.

14.4. The organizers reserve the right to modify the course in case of adverse weather conditions (heavy rain, storms, low visibility, excessive heat) or other unforeseen situations in order to ensure participant safety.

14.5. In exceptional situations or emergencies, the organizers may decide to:

  • modify the race distances;
  • reconfigure certain sections of the course;
  • temporarily or permanently stop the race;
  • cancel the start of a race;
  • evacuate competitors from certain areas.

14.6. Participants are required to comply with all decisions communicated by the organizers or volunteers, even if these involve stopping the race, withdrawing from the course or changing direction.

14.7. A first aid point will be available in the Start/Finish area, where authorized medical personnel will be present to intervene in case of emergencies.

14.8. If medical intervention is required on the course, the rescue team will be mobilized through volunteers or by direct contact with the organizers. Competitors are encouraged to carry a mobile phone with a charged battery in case of emergency.

14.9. In case of force majeure (e.g., natural disasters, decisions of public authorities, protests, states of emergency or alert, armed conflicts, fires, epidemics, etc.) that prevent the safe organization of the race, the organizers reserve the right to cancel, postpone or modify the event. In such cases, the participation fee will not be refunded, but the organizers may offer discounts for future editions depending on the circumstances.

14.10. The organizers assume no responsibility for incidents caused by participant negligence (slips, injuries, lack of equipment, failure to follow the course).

14.11. The course is marked and checked before the race, however markings may become damaged or vandalized. Participants are responsible for carefully following the markings and returning to the last visible marking if they are uncertain about the correct direction.

14.12. Damaging, removing or modifying course markings by competitors or accompanying persons is prohibited. Any such action will result in immediate disqualification.

14.13. Participants who leave the official course for any reason and cannot safely return must call the emergency number 112.

14.14. The course will be officially closed after the time limit for each race has expired. After this time:

  • course markings may be removed;
  • aid and checkpoint stations will be closed;
  • volunteers will leave the course;
  • the organizer can no longer guarantee supervision or safety for competitors on the course.

14.15. Participants who choose to continue on the course after the time limit expires do so at their own responsibility and must be aware of the associated risks. They are no longer considered active competitors and will not be timed.

15. LIMITATION OF LIABILITY

15.1 The organizer reserves the right to modify or adjust the race course depending on weather conditions, terrain conditions or even to stop the race in exceptional situations. Any course modification will be properly marked (as is the entire course) and communicated to competitors no later than the technical briefing on the day before the race.

15.2 Considering the nature of the race course and the purpose of the competition to challenge the agility and endurance of participants, the organizer does not guarantee the stability or traction of surfaces, the removal of loose objects from the course, the visibility of markings in fog/rain/darkness, the choice of the easiest/safest/most visible route or other similar conditions. The organizer does not guarantee that the course is free of objects or animals and does not assume legal custody over any object or animal that participants may encounter on the course or within the event perimeter.

15.3 The organizer is not responsible for any patrimonial or non-patrimonial damage suffered by participants and/or their legal successors in connection with completing the course or traveling outside the course, regardless of whether the damage is caused by a person, object or animal.

15.4 The competition area is part of the public domain and is not controlled or restricted by the organizer. The organizer cannot provide security or protection services during the event. The organizer is not responsible for any damage to goods owned by participants or under their legal custody.

15.5 The organizer does not provide medical, mountain rescue, evacuation or transportation services. The organizer ensures the presence of a qualified first-aid team equipped with a type B ambulance and a mountain rescue team. The organizer is not responsible for the availability, equipment or services of rescue and/or first-aid teams.

15.6 The organizer makes all necessary efforts to ensure an adequate supply and surplus of liquids and food at hydration and aid stations through logistical planning and additional provisioning. However, depending on weather conditions, race pace and the distribution of competitors along the course, the availability of these resources may vary at certain moments during the event. Participants are encouraged to carry their own reserves of water and nutrition to meet their individual needs along the course.

15.7 In the event that an administrative or judicial authority determines the liability of the organizer for any patrimonial or non-patrimonial damage suffered by a participant, the organizer’s liability shall be limited to the equivalent value of the participation fee paid by the respective participant.

15.8 The organizer is not responsible for the hydration behavior of participants and therefore is not responsible for dehydration or over-hydration (hyponatremia).

15.9 The event does not have a restricted perimeter and the organizers are not responsible for the loss, theft or damage of participants’ belongings.

15.10 The event is supported by multiple sponsors and partners. They are not responsible for or directly involved in the activities carried out by participants and cannot be held liable for any damages or accidents occurring during the event.

15.11 Event sponsors and partners cannot be considered responsible for the quality, integrity or safety of the equipment or materials used by participants.

15.12 Any information or recommendations offered by sponsors or partners of the event should be considered within the context of general discussions and cannot be interpreted as professional advice or guarantees.

15.13 The organizer does not guarantee the quality or safety of products or services offered by sponsors and partners. Participants assume all risks associated with the use of these products and services (for example products won in raffles). Participants must independently verify the products offered by sponsors or partners and take all necessary precautions before using them.

15.14 If a participant encounters issues with a product offered by an event sponsor or partner, they must contact the supplier or manufacturer directly to resolve the issue.

15.15 Participation in the event implies consent to receive information and promotions from sponsors or partners via email or text messages. The organizer is not responsible for the information or promotions provided by sponsors or partners.

15.16 Participants are directly responsible for their own assessment of the risks involved in participating in the race, including their personal health condition, level of physical preparation and equipment used.

15.17 The organizer assumes no responsibility for accidents, injuries or death resulting from participant negligence, imprudence or failure to follow the course, especially in dangerous areas such as slippery terrain, rocks, steep sections, exposed areas or technical sectors.

15.18 Areas considered technical or dangerous will be presented and explained in detail during the technical briefing. It is the exclusive responsibility of participants to attend the technical briefing and retain this information.

15.19 In these dangerous areas, overtaking other participants is strictly prohibited. If overtaking cannot be performed safely, competitors must wait calmly and in an orderly manner without leaving the marked trail, without forcing the overtaking and without endangering their own safety or that of others.

15.20 Leaving the marked course, rushing, unsafe behavior or ignoring the instructions of volunteers or course markings may lead to serious accidents and the organizer cannot be held responsible for the consequences of such actions.

15.21 The organizer is not responsible for the actions of other participants, volunteers or spectators that may directly or indirectly cause damage to other persons or property.

15.22 Participants accompanied by minors or third parties in the Start/Finish area are directly responsible for their safety. The organizer does not provide supervision for minors or third parties who are not participating in the race.

15.23 Competitors are responsible for any material damage caused to the property of the organizer, sponsors or third parties during the event.

15.24 The organizer reserves the right to modify this regulation without individual prior notice, with the obligation to publish changes on the official competition website. Major changes that may affect the conduct of the competition or the rights and obligations of participants will also be announced by email to the addresses provided in the registration form. Continued participation in the event implies automatic acceptance of the updated regulation. If a participant does not agree with the modifications and decides to withdraw from the competition, the participation fee will not be refunded regardless of the reason for withdrawal.

15.25 Participants are encouraged to obtain personal accident insurance valid during the competition period. The organizer does not provide or intermediate insurance services.

15.26 Participants understand that participation in a mountain running competition involves significant risks including but not limited to injuries, falls, dehydration, exposure to extreme temperatures, encounters with wildlife or losing orientation on the course.

15.27 The organizer cannot be held responsible for decisions, delays or interventions by public institutions (e.g. Gendarmerie, Police, Mountain Rescue, Ambulance, Emergency Inspectorate, local authorities).

15.28 The organizer is not responsible for situations where participants decide to continue the course after the time limit or after being officially notified of withdrawal. They continue exclusively at their own responsibility.

15.29 The organizer is not responsible for the impact of weather conditions on participant performance, comfort or health. Participants are required to equip themselves appropriately and adapt their effort according to weather conditions.

15.30 In the event of cancellation of the event due to unforeseen circumstances beyond the control of the organizer (force majeure, decisions of authorities, pandemics, protests, armed conflicts, acts of terrorism, etc.), the participation fee will not be refunded. In such cases, the organizer reserves the right to reschedule the event or offer alternative solutions (e.g. voucher for the next edition).

15.31 The organizer is not obligated to restore the course in case of vandalism or destruction of markings by third parties. Participants must remain vigilant and follow the official GPS track made available the day before the race.

15.32 Any personal equipment left unattended in the start/finish area remains the sole responsibility of the participant. The organizer does not provide security or storage for personal belongings.

15.33 The organizer assumes no responsibility for allergic reactions, intolerances or medical conditions caused by the consumption of products offered at aid/hydration stations or in the race kit.

15.34 Any image, video recording or photograph taken during the event may be used by the organizer, sponsors or partners for promotional purposes without requiring written consent from the photographed person or any financial compensation.

15.35 Participation in the event implies full and unconditional acceptance of these regulations. Lack of knowledge of the regulations does not exempt participants from responsibility.

15.36 By registering and participating in the Trascău Trail Run event, each participant declares that they have read, understood and accepted these regulations, fully assuming all the conditions and risks described.

16. PERSONAL DATA PROTECTION

16.1 The organizer processes the following personal data of competition participants:

  • First name and last name, processed for the purpose of creating the competition list, assigning race numbers, preparing and publishing the rankings;
  • Personal identification number, processed for the purpose of identifying the competitor, confirming age, and assigning them to the appropriate age competition category;
  • Home address and identity document details, processed for the purpose of identifying/contacting the participant in relation to the matters declared by the participant on their own responsibility;
  • Email address, processed for the purpose of confirming registration for the competition, sending details related to the competition, as well as non-commercial information related to future events organized by the organizer;
  • Photo/video captures, processed for the purpose of promoting the competition in the press or on social media.

16.2 By registering for the competition, the participant gives consent for the processing of personal data for the purposes indicated.

16.3 The organizer does not transfer participant data to third-party entities; however, the organizer does transfer photo/video captures to partners and sponsors to be used for the purpose of promoting the image of the partners and the organizer.

16.4 Personal data collected by the organizer as data controller may be processed by the data processor S.C. RACEHUB S.R.L., headquartered in Cluj-Napoca, Str. Theodor Pallady no. 6, apt. 3, Cluj County, J12/5068/2017, VAT no. 38019370, for the purpose of providing digital services related to organizing the competition, including participant registration, payment of participation fees, allocation of race numbers, competition timing through RFID chips, and publication of competition results.

16.5 The personal data processed by the controller will be kept in the history of previous competitions. The first name, last name, gender category and age of participants will be published on the organizer’s website to allow participants to refer to them for their personal record. Any participant has the right to exercise the rights recognized by Chapter III of EU Regulation no. 679/2016 regarding the protection of natural persons with regard to the processing of personal data.

16.6. The participant has the right, at any time, to request from the organizer access to their personal data, rectification thereof, deletion or restriction of processing, under the conditions provided by GDPR. Requests may be sent to the email address: info@trascautrailrun.ro.

16.7. If a participant requests the deletion of their personal data, this will make participation in the competition impossible, since the data is essential for validation, timing and displaying the results.

16.8. If a participant requests restriction of the publication of their name in the rankings, they may request replacement with an alias (first name + surname initial or another neutral format) by sending a request by email.

16.9. The organizer stores personal data for a maximum period of 5 years from the date of the event, unless there are legal obligations requiring storage for a longer period.

16.10. In the event of incidents involving the security of personal data, the organizer will notify the competent authority within the legal deadline, as well as the affected persons, if necessary.

16.11. Images and video materials created during the event may be processed and published by the organizer and its partners for promotional purposes, without the participant being able to request financial compensation. If a participant wishes for their image not to be used for this purpose, they may send a written request before the event.

16.12. The organizer will not transfer personal data outside the European Economic Area (EEA) without the prior explicit consent of the data subject.

16.13. In the event of a significant change in the way personal data is processed, the organizer undertakes to inform all participants within a reasonable time through the official communication channels.

16.14. Any communication regarding the processing of personal data will be made in clear and accessible language and without ambiguous legal terms, in order to ensure understanding by all participants, including minors or persons without legal training.

16.15. In the case of minor participants, consent for the processing of personal data is expressed by the legal guardian, by signing the liability declaration and the participation agreement.

16.16. If the participant chooses to pay the participation fee through a third-party processing platform (e.g. an online payment processor), the bank card data and other financial information are not accessed or stored by the organizer.
